11/18/2004 - Group Wise 6.5
Earlier this summer, the servers that run the back-end of our email system were upgraded to the latest version of software. Now, the updated PC software is available for Faculty and Staff (the webmail front end is already updated to the newest version). The software update will be available over the next couple of weeks. Keep an eye out for an icon labeled "Update your GroupWise".
Junk Mail Handling This feature allows you to decide what to do with unwanted email. Email can be classified as "Junk", sending it directly to the Junk Mail folder, or it can be classified as "Block" and the email will never appear in your inbox.
Checklist Folder The Checklist Folder is a useful way to keep track of appointments, reminders, due dates, and other tasks that require some sort of action to be taken. By adding items to the Checklist Folder, you can arrange them in order of importance, assign due dates to the items, and “check” off the items when the task is complete.
Contacts Folder The Contacts Folder shows the addresses contained in your Frequent Contacts address book. From this folder, you can view details, make changes, and put selected addresses into categories. Any changes you make in this folder will also affect your Frequent Contacts address book.
Categories Categories allow you to organize items in GroupWise. You can make your own categories, or use the four default categories that are provided. These include Follow-Up, Low Priority, Personal, and Urgent. You can apply these categories to specific messages, or to every message from a certain address.
My Subject The My Subject option is useful because you can label items in any way you wish. This allows you to change the subject of an email to something that will make it easier for you to remember what it’s about. You can also apply this tool to Calendar items in GroupWise.
Address Book Enhancements A list of different address books is now included in a left side panel in the Address Book. You can select these address books to view them. You can also use the +/- sign next to each individual address book to view separate groups that may be contained within the address book. You can make your own groups by right clicking the address book in the left panel, and then selecting “New Group”. You can then drag certain addresses into this group, or right-click on the group, click “Details”, and add addresses to the group.
Address Selector When composing a message, you can choose an address quickly by clicking the address button. This will bring up the Address Selector. You can choose which address book you want to look in. Then you can search for an address. Finally, you have the option of selecting which addresses will be primary recipients (To), carbon-copy recipients (CC), or blind-recipients (BC). When you are done, click OK.
Sent Items Folder The Sent Items Folder keeps track of all the messages you have sent. This way you can look back at your messages at any time to make changes or if one needs special attention. This folder will also show you if the message you sent has been received or not. You can also resend messages from this folder by right-clicking on the message and selecting “Resend”.
Tabbed Item Views When you open an item, GroupWise now displays tabs above the message. These tabs offer different options. For instance, when you are composing a new message, you are presented with the tabs marked “Mail” and “Send Options”. By clicking on the “Send Options” tab, you have different options about how you want your message to be received. When you open a mail message from someone else, you have the tabs “Mail”, “Properties”, and “Personalize”. The “Properties” tab allows you to see basic information about the message, while the “Personalize” tab allows you to change the subject and/or category.
Filter Enhancements The Filter option is now represented by two overlapping gray circles. This is located above the list of items on the right side. If you click on the circles, a drop down menu appears. You can choose one of four options. The first is to Filter for Received Items. This will show all of the messages that have been sent to you. The second is to Filter for Sent Items, which will display all of the messages you have sent. The third option is to Filter for Posted Items. Finally, the last option is Filter for Draft Items, or items that have been written but not sent. You can also select the option “Filter…” which gives you more options.
Calendar Enhancements The Calendar has new navigation tools which allow you to move from one date to the next. You can move forward or backward a day at a time, a week, a month, or a year. There is also a button that will take you back to the current date. You can also view the calendar by day, week, month, or year.
New Headers New headers above the item list make it easier to see exactly which folder you are in. Also, you can change Categories and Filters using the header. The new headers are customizable. You can right click the header to change its color, text color, and font size.
From Drop-Down List A From drop-down list is now located next to your name when you compose a message. You can use this to choose which account or proxy you want to send your message from.
Read Views Items that have already been sent or received will now appear in a “Read View”. This looks different from the view used when composing a message and is also easier to read.
Toolbar Enhancements Toolbars are now customizable. Therefore you can make GroupWise display the things you need, and hide the things you don’t. You can also choose to display buttons or buttons with text.
